Scope of this policy

This policy explains how the Rajasthan Association of Minimal Access Surgery ("RAMAS", "we", "us") collects, uses, stores and protects information through ramas.org.in — including conference registration, membership applications, our public member directory, and general use of the website.

By registering for a RAMAS conference, submitting a membership form, or maintaining a listing in our directory, you agree to the practices described here.

Information we collect

We collect information directly from you at three points on the website:

  • Conference registration — your name, email address, mobile number, and the registration category or plan you select (e.g. delegate, workshop, accompanying person) for events such as the RAMAS Annual Conference.
  • Membership & directory profile — name, specialty, qualifications and education, current hospital or practice affiliation, and any contact or biographical details you choose to add to your listing.
  • Payment metadata — the plan you paid for, the amount, and the transaction status shared back to us by our payment partner, Razorpay.

Conference & payment data

When you register for a conference, we store your registration details — name, email, mobile number and selected plan — in our database so we can confirm your seat, send updates about the event, and maintain an attendance record for RAMAS.

All payments are processed through Razorpay. When you pay on ramas.org.in, your card, UPI or net-banking details are entered directly on Razorpay's secure payment page — RAMAS does not see, collect, or store your card number, CVV, or banking credentials at any point. We only receive confirmation of whether your payment succeeded, the amount, and a transaction reference.

Razorpay processes payments under its own privacy and security policy, including PCI-DSS compliance. We recommend reviewing Razorpay's policy for how it handles payment data.

Doctor directory access

RAMAS maintains a searchable directory of member doctors so that patients, hospitals and fellow members can look up a doctor's specialty, education, and hospital affiliation. This directory is a core part of our mission to connect surgeons across Rajasthan.

Any registered member doctor can currently add, edit, or remove profile information through the member area — not only their own listing. If you are a listed member and prefer stronger controls over who can edit your entry, please contact us using the details in Section 13 so we can assist directly.

Directory information that is visible in public search results is limited to what a professional listing typically shows: name, specialty, qualifications, and hospital. Personal contact details are shared only at a member's discretion.

How we use your data

  • To confirm and manage your conference registration, including entry passes and certificates.
  • To send you event updates, schedule changes, and abstract submission deadlines by email, SMS or WhatsApp.
  • To maintain an accurate, searchable directory of RAMAS member doctors.
  • To respond to membership applications and helpdesk queries.
  • To meet accounting, audit and legal record-keeping obligations for the association.

Sharing & disclosure

We do not sell your personal information. We share data only in these limited situations:

  • Razorpay — to process your conference payment securely.
  • Event partners & sponsors — where applicable, aggregated or delegate-count information may be shared for conference planning; individual contact details are not shared without consent.
  • Public directory — professional details you or your association add to your directory listing, as described in Section 04.
  • Legal requirements — where disclosure is required by law or a valid government request.

Storage & security

Registration and directory data is stored in RAMAS's website database, accessed only by authorised administrators and member accounts. We use standard safeguards such as access-controlled logins and secure hosting practices to protect your information.

No online system can be guaranteed 100% secure. If you believe your information has been accessed without authorisation, please contact us immediately using the details in Section 13.

Retention

We retain conference registration records for as long as needed for event history, accounting, and CME/attendance documentation. Directory profiles remain listed for as long as a doctor is an active RAMAS member, or until removal is requested.

Cookies

ramas.org.in may use basic cookies to keep the website functional — for example, remembering your session while registering for an event. We do not use cookies for third-party advertising.

Your rights

  • Access — ask us what data we hold about you.
  • Correction — request updates to inaccurate registration or directory details.
  • Removal — request that your directory listing or registration data be deleted, subject to record-keeping obligations.
  • Withdraw consent — opt out of promotional emails, SMS or WhatsApp updates at any time.

Children's privacy

RAMAS's website and conference registration are intended for practicing and student medical professionals. We do not knowingly collect information from children.

Changes to this policy

We may update this policy as our conference registration process, directory features, or applicable law evolve. The "Last updated" date at the top of this page will reflect the latest revision.
